Academic Policies

Attendance Policy

Regular attendance is essential for success in our program. Students are expected to attend all scheduled classes.

  • Attendance requirement: Minimum 85% attendance
  • Tardiness: Excessive tardiness may result in disciplinary action
  • Absences: Must be made up according to school policy

Grading Policy

Grades are based on:

  • Written examinations
  • Practical skill demonstrations
  • Attendance and participation
  • Professional conduct

Grading Scale:

  • A: 90-100%
  • B: 80-89%
  • C: 70-79%
  • F: Below 70%

Students must maintain a minimum 70% average to remain in good academic standing.

Satisfactory Academic Progress (SAP)

Students must maintain satisfactory academic progress to continue in the program and remain eligible for financial aid.

SAP is evaluated:

  • At the end of each grading period
  • Based on grades, attendance, and pace of completion

Student Conduct

Professional Behavior

Students are expected to:

  • Maintain professional conduct at all times
  • Respect instructors, staff, and fellow students
  • Follow all school policies and procedures
  • Maintain client confidentiality
  • Dress appropriately for class and clinic

Code of Ethics

All students must adhere to professional ethical standards, including:

  • Maintaining appropriate boundaries with clients
  • Practicing within scope of training
  • Respecting diversity and individual differences
  • Maintaining professional appearance and hygiene

Refund and Cancellation Policy

Cancellation Before Program Start

Students who cancel enrollment before classes begin are entitled to a full refund, minus any non-refundable application fees.

Withdrawal After Program Start

Refund amounts are calculated based on:

  • Date of official withdrawal
  • Percentage of program completed
  • State and federal regulations

Return of Title IV Funds

Students receiving federal financial aid who withdraw may be subject to Return of Title IV requirements.

Leave of Absence

Students may request a leave of absence for:

  • Medical reasons
  • Family emergencies
  • Other extenuating circumstances

Requests must be submitted in writing and approved by the Director of Education.

Grievance Procedure

If you have a concern or complaint:

  1. Discuss the issue with the instructor or staff member involved
  2. If unresolved, submit a written complaint to the Director of Education
  3. Appeals may be made to the School Director
  4. External complaints may be filed with:
    • Accrediting Commission of Career Schools and Colleges (ACCSC)
    • Tennessee Higher Education Commission

Academic Accommodations

Mind Body Institute complies with the Americans with Disabilities Act (ADA). Students requiring academic accommodations should:

  1. Notify the Director of Education
  2. Provide documentation of disability
  3. Work with staff to arrange reasonable accommodations

Student Records

FERPA Rights

Student records are protected under the Family Educational Rights and Privacy Act (FERPA).

Students have the right to:

  • Inspect and review their education records
  • Request amendments to inaccurate records
  • Control disclosure of personally identifiable information

Transcript Requests

Official transcripts may be requested by:

  • Submitting a written request to the school office
  • Paying applicable transcript fees
  • Allowing 5-7 business days for processing

Health and Safety

Health Requirements

Prior to enrollment, students must provide:

  • Proof of immunizations (as required by state law)
  • Health clearance from a licensed physician
  • TB test results

Emergency Procedures

  • Emergency contact information must be kept current
  • Fire drills conducted regularly
  • First aid supplies available on premises
  • CPR-certified staff on site
